What is involved in changing course?
There are two parts to the process
1. Academic: arranging to change course
2. Financial: ensuring you have funding for your new course
A. Academic
Can I change my course at Aston ?
You can sometimes change course if you have the right grades and provided there is space on the new course. This is known as transferring. Contact the admissions staff of the course you are interested in.
Can I change course to attend a different university?
It is almost impossible to change university just by contacting admissions staff. You normally need to re-apply through UCAS. If the new university are unable to accept you as a transfer student immediately, to continue this academic year, you will have to wait until 2010-2011.
Can I leave university altogether?
If you are not motivated to continue, you may leave/withdraw. This will impact on your financial support. See page 3.
Who shall I contact about leaving Aston?
School of Study
Write to your School of Study and send an additional copy of the letter to University Registry via ASAP in the Main Building. Your date of withdrawal is considered to be the date on which the University receives your letter.
Local Authority
You should contact Student Finance England using form CO1 to tell them of the change. CO1 forms are available free of charge from the Guild’s Advice & Representation Centre or can be downloaded from http://www.studentfinance.direct.gov.uk
What happens to my place in residences?
You have to leave residences when you cease to be a student at Aston. Tell the Assistant Residence officer for your area. You will need a letter from your School of Study confirming that you are leaving. Once you have returned the keys and they have checked your room for damage, £150 of the deposit should automatically be

Student support is available for the length of your course plus one year; minus any years of study for which you have already received support.
►Once you have attended university, even if it’s only for one day, it counts as being one academic year of support.
►If you have compelling personal reasons which led you to repeat a year or to fail a year, it is possible for Student Finance England to ignore that year when calculating course length.
►If you have transferred during a year and continued to study, it will only count as one year.
Should you need more than one extra year’s funding, you will have to pay for it yourself. This will be applied to the earlier years rather than to the later years of your course. As a self funding student you can apply for a living cost loan and apply for any supplementary grant to which you are entitled but not for a tuition fee loan or for a grant.
If you have compelling personal reasons for needing extra years of study, there is discretion for Student Finance England to extend your student support beyond the extra one year. This will be decided and awarded one year at a time. Compelling personal reasons would not normally be considered if they relate solely to academic performance.
What happens to my tuition fees if I leave?
If the University receive your withdrawal letter:
By 9 October 2009, you will not be required to pay any fees.
Between 10 October and 31 October 2009 you will not be required to pay fees and will receive a full refund of fees paid less an admin. fee of £200.
Between 1 November 2009 and 15 January 2010, you will be required to pay one third of your annual tuition fees. You will be refunded any amount over one third which has already been paid.
Between 16 January 2010 and 23 April 2010, you will be required to pay two thirds of your annual fees and will receive a refund for any excess amount.
After 23 April 2010, you are required to pay the full amount due for the year.
If you have taken a Student Loans Company Tuition Fee Loan, this will not be paid to the University unless you are still attending your course on 1 December 2009. If you leave prior to 1 December you will be subject to the rules regarding the first three dates above. If you leave on or after 1 December you will receive a refund for the difference between the amount of the Loan and the proportion of the fees due. Don’t forget to pay this back to the Loans Company to reduce the amount of your debt!
What happens to my Bursary, Subject Specific Award or
Placement Allowance/Bursary if I leave?
If the University receive your withdrawal letter:
By 31 October 2009, you will not be entitled to any of the above
Between 1 November 2009 and 15 January 2010, you will receive one third of the monies due
Between 16 January 2010 and 23 April 2010, you will receive two thirds of the monies due
After 23 April 2010, you will receive all the money due to you.
What happens to my student loan for living costs if I leave?
You should not receive more payments of student loan for any of the academic terms after you leave and you have to begin to repay your loan in the month of April after you leave your course.
What happens to my student grant if I leave?
The grant is payable from 1 Sept to 31 Aug each year though it’s paid in 3 instalments 33% 33% and 34%. They divide your grant by 365 days and multiply it by the number of days from 1 September until your day of withdrawal. In addition, Student Finance England can use their discretion as to whether or not they ask you to repay any grant which has been overpaid to you unless you are sent to prison in which case all payments cease and no discretion is used!
